Overview

The Academic Support Executive duties at SIS are a full-time responsibility. In this capacity, you will serve the SIS Community under the direction of the Principal and Deputy Principal, with support from the SIS Admission Team and staff. The Academic Support Executive works with school leadership, teachers, and students to facilitate the academic programme. The Academic Support duties include managing student records on educational management systems, preparing documentation for the purpose of policy and procedures and meeting the requirements of two ministries of education: Malaysia and Ontario, Canada. This role will also be working closely with the Elementary Coordinator and providing academic support in regard to student registration, timetables, learning management systems, and coordinating staff absences and coverage. Additional roles will include planning and involvement in school events such as graduations, community outreach, and marketing activities, building relationships with the school’s stakeholders, preparing certificates and awards, and carrying out feedback surveys for continuous school improvement. 

Requirements 

  • At least a Bachelor’s Degree.
  • 2 years of working experience in the field of Education, preferably in Academic Administration.
  • Good communication skills in written and spoken English.
  • Experience working with Student Information Systems, and competency in Microsoft Excel and databases is preferred. 

Job Functions and Responsibilities

  • Managing the Education Management System, student administration process, and enrolment matters for accurate record-keeping and reporting. This includes administration of students’ admission, student visas, policies and procedures, rules and regulations, maintenance of proper records in the School’s management system, in compliance with requirements of the ministries of education in Malaysia and Ontario (Canada) and academic progression. 
  • Supporting the timely preparation, updating and submission of documents relating to the conduct of the programme, approvals and licenses by regulators, school rules and regulations, policies and procedures, with attention given to requirements of students and stakeholders, and meeting requirements and deadlines of the ministries of education in Malaysia and Ontario (Canada).
  • Providing support services to the academic team on overall administration matters which include the following: 
  • Work with Elementary Coordinator to assist with administration records for the Elementary students. 
  • Work with the Elementary Coordinator to organize and implement student learning and information systems. 
  • Work with Elementary Coordinator and school administration to assist with the organization, implementation and distribution of student timetables, progress reports, and report cards. 
  • Provide oversight and administration of student attendance files and record keeping for Elementary Students. 
  • Coordinate teacher/class coverage during staff absence or illness.
  • Maintaining relevant school administration records, including records on current and graduating students, progression pathways, and alumni database. 
  • Assisting in planning and organizing various programmes and activities of the School, including graduation, orientation, parent-teacher events, marketing and promotional events, extra-curricular activities, etc. 
  • Assisting with carrying out surveys on students’ and/or parents’ feedback and classroom teaching; document and analyze students’ and parents’ feedback for purposes of reporting and continuous process improvement. 
  • Liaising and building relationships with students, parents, suppliers, international agents and colleagues. This includes attending to walk-in, phone-in and email enquiries professionally. 
  • Providing support services to students on overall administration matters which include the following: 
  • Assignment and distribution of Student ID Cards, Locker Keys, and other administrative items
  • Assisting in attending to student’s requests – collection of certificates/awards 
  • Ensuring that fee payments are made by the new and returning students for every semester which includes monitoring the progress of all outstanding payments and maintaining good communication and relationship with customers to settle outstanding payments as necessary to the school’s best interest.
