We are seeking a highly organized and detail-oriented Personal Assistant to support our Head of Department (HOD). In this role, you will be responsible for managing the HOD’s daily schedule, preparing meetings, conducting research for business proposals, and setting up appointments.

Key Responsibilities:

  • Schedule the HOD’s daily activities and prioritize tasks based on their importance
  • Prepare and distribute agendas, materials, and presentations for meetings
  • Conduct research and prepare business proposals, including gathering information, analyzing data, and creating reports
  • Coordinate and schedule appointments, ensuring that all necessary documentation and resources are available
  • Manage and maintain the HOD’s electronic and paper-based filing systems, ensuring that all information is accurate, up-to-date, and easily accessible
  • Assist with the preparation of internal and external communications, including emails, memos, and letters
  • Perform administrative tasks, such as data entry, expense tracking, and record-keeping
  • Liaise with other departments and external stakeholders to ensure that the HOD’s schedule and activities are aligned with organizational goals.


  • Bachelor’s degree in Business Administration or related field.
  • Excellent organizational and time-management skills.
  • Strong interpersonal and communication skills.
  • Ability to multitask and work under pressure.
  • Proficiency in Microsoft Office and other relevant software.
  • Experience in conducting research and preparing business proposals.
  • Knowledge of office management systems and procedures.
  • Ability to maintain a high level of confidentiality.
  • Demonstrated ability to work independently and as part of a team.
