THE ROLE:  

Regional Order Fulfilment Executive

We are looking for an enthusiastic and diligent candidate to join us in our junior role in supply chain. This role is crucial in ensuring smooth operations through timely and accurate order fulfilment to all stores locally and regionally (Singapore, Thailand, Indonesia & Brunei).

Job Purposes

  • Supports and handle regional order fulfilment ensuring On Time Delivery in Full to all Boost stores, storage and 3PL warehouses at all times.
  • Support and execute 3PL management for distribution/logistics into Warehouses and Stores.
  • Handles all regional import/export shipments and oversea the execution of all necessary arrangements and documentation required to load/unload, declare and ship to/from Boost locations regionally.
  • Be responsible, lead and drive continuous improvement of matters related to orders, shipments and inventory for the business.
  • Contributes to improved communication and coordination with internal and external stakeholders for all related processes and matters.

Job Responsibilities

  1. Order Fulfilment / Distribution
  • Lead and execute daily fulfilment of orders to Stores.
  • Lead continuous review and improve overall end-to-end order fulfilment cycles to constantly ensure that they are efficient for both internal and external stakeholders, optimised in cost and are fluid to cope with the ongoing business changes and needs.
  • For Malaysia, function as a control tower and manage operative coordination as part of routine i.e., confirmation of deliveries, monitoring of shipment readiness, and on-time in full deliveries to stores.
  •   Achieves daily truck optimisation in support of cost optimisation targets.
  • Handles reviews, investigations and executes corrective/preventive actions internally and with external stakeholders as part of incidents/accidents management.
  • Overseas shipment management i.e. preparation and handling of shipping documents e.g. Packing List, proforma Invoices, Delivery Orders and Receiving Notes.
  • Plan and coordinate logistics/deliveries into Stores regionally, both BAU and project basis (Backup to Supply & Demand Planning responsible).
  • Ensure timely cut-off to all 3PLs for timely goods readiness for pickup and deliveries into stores.
  • Be a supporting Buddy to our full-time Storekeeper, assisting with pick, pack and delivery of courier and order collections, as and when required.

2. Import/Export

  • Manage and monitor all import/export shipments for arrival and inland haulage arrangements.
  • Handles all necessary arrangements and documentation required to load/unload, declare and ship to/from Boost locations regionally.
  • Handles the execution of any application of permits/licenses/approvals and appointments of shipping agents/reps to manage Boost shipments.
  • Support or lead any coordination with authorities and agents to resolve all shipping-related matters in a timely & compliant manner, and in the best possible way to support the business.

3.  Inventory Management

  • Support inventory management through transaction tracing as and when required.
  • Participate and execute Stock Count with Stores, Storages, Material Supplier and 3PL warehouses.

4.  Reporting & Systems

  • Verify POD and invoices on periodic basis before releasing to Finance for payment.
  • Participate in periodic stock counts, calibration processes and continuous improvement of SAP in related processes.

5.  Continuous Improvement

  • Review, propose and implement fundamental frameworks, processes and procedures needed as part of change management and continuous improvement for the Business.
  • Support and where exceeds expectations, lead 3PL supplier performance monitoring & management.
  • Drive continuous improvement initiatives with internal and external stakeholders.
  • Lead and/or participate in project study or review supporting overall business growth, expansion and change as and when required.
  • Champion communications related to order fulfilment with internal and external stakeholders.

 The Person

Job Requirements

  • Minimum 5 years experience in order fulfilment and truck planning in Malaysia.
  • Any prior experience in retail or B2C will be advantageous.
  • Mandatory knowledge of regional/international logistics and knowledge of INCOTERMS, tax/duties, and shipping regulations is required.
  • Intermediate MS Excel skills are a must, Advanced as a bonus. SAP Outbound Order is fundamental to order fulfilment planning, there is no in-house TMS platform.
  • Experience with ERP is a must; SAP is an added advantage
  • Mandatory hands-on knowledge and experience in inventory management, 3PL warehouse management and distribution fleet management.
